Sharing Exercise Templates: Physitrack and SimpleSet

HepBuddy 5 min read

Direct answer

Physitrack uses a sharing request to send selected content to a named colleague, who must accept it. SimpleSet uses shared folders and permissions to define the audience and editing rights. In Physitrack, editing a received template requires a separate copy. SimpleSet's Write permission allows changes to shared content. Selecting content, choosing its audience, and creating an editable copy are different decisions.

SimpleSet's shared-folder guide requires a Clinic subscription. Check that requirement before following its workflow below.

This comparison covers reusable exercises and templates only. We reviewed official documentation on September 30, 2026. We did not perform live-account testing.

A hypothetical clinic software demo

Imagine checking what a colleague can open and edit before sharing reusable exercises and templates. This clinic demo uses invented names and demo content only. A physical therapist (PT) named Alex prepares items called "Demo exercise A" and "Demo template A." Another PT, Sam, should receive those items for a practice run.

Alex also keeps an item called "Demo not selected" outside the intended share. They write down which demo items Sam should find. They decide whether Sam should edit shared content or make a separately named version.

After sharing, Sam opens the items from Sam's own account. They compare the result with their notes before trying any edit.

Physitrack: select content, then confirm acceptance

Open the menu under your name, then choose Share and Add colleague to share with. Enter your colleague's email address. The recipient needs an active Physitrack subscription.

Physitrack defaults to sharing all added content when content sharing is selected. Choose specific exercises or programmes for this demo instead. Review the selection before clicking Send sharing request. These steps follow the content-sharing sections of Physitrack's sharing instructions.

The colleague receives an email notification. The request stays pending until the colleague accepts it through the Share page in their account. Content becomes shared only after acceptance. The same instructions also say individually selected shared content cannot be shared further.

Sending the request is therefore not the final check. Ask Sam to confirm acceptance and open the named demo items.

A received template needs a separate copy for editing

For a received template, open Library, then Templates. Select the template and click the pencil button. Physitrack opens it in read-only mode.

Use the button showing two sheets of paper to make an editable copy. Physitrack recommends a different name to distinguish it from the original. This is the documented route in its template-editing guide.

For the demo, use a name such as "Demo template A, Sam copy." Check that name before making a practice edit.

SimpleSet: select the folder and its audience

SimpleSet documents separate locations for shared exercises and shared templates. Both workflows start with sharing permissions in the Manager account.

For exercises, enable Team Exercises permission. In a Staff account, open Designer, then Custom. Create a folder under Shared Folders. You can create an exercise there or drag an existing exercise into it. These are the steps in SimpleSet's exercise-sharing guide.

Dragging an existing custom exercise into a shared folder moves it rather than copying it. Look for it in that shared folder afterward. SimpleSet states this distinction in its Custom tab guide.

For templates, enable the relevant sharing permissions and create a shared folder under Templates. Build the demo exercise set in the Designer. Save it As Template, then choose that shared folder and name the template. The template-sharing guide documents this sequence.

These destinations differ from merely keeping something for yourself. Our guide to SimpleSet Custom, Templates, and Drafts covers the saving choices before colleague sharing.

Read and Write answer different questions

Team Sharing concerns shared folders for staff on the same Team. Organization Sharing concerns shared folders across Teams. Access still depends on the relevant permissions.

SimpleSet defines the permission levels as follows:

  • Write: Create, view, and modify shared content.
  • Read: View and use content without adding shared content or modifying existing originals.
  • Off: No access to that shared folder.

These audience and editing rules come from SimpleSet's permissions guide. A colleague's ability to find a template does not establish permission to modify its shared original.

Compare the same five decisions

This table puts the documented workflows above against the same questions.

Decision Physitrack SimpleSet
What must be enabled? The recipient needs an active subscription. Clinic subscription and relevant sharing permissions.
Which content is selected? Specific exercises or programmes, rather than the default of all added content. Chosen exercises or templates placed in the appropriate shared folder.
Who is the audience? The named colleague receiving the request. The Team or Organization folder audience, subject to permissions.
What must the recipient check? Accept the pending request, then find the selected content. Find the content in the relevant shared folder.
How is a received template edited? Make a separately named editable copy from the read-only template. Write permits modifying shared content. Read does not permit modifying existing originals.

Check the demo from both accounts

Use only the named demo items for these checks. Do not treat a successful sender action as evidence of what the recipient can do.

Sender checks

  1. List the demo items you intend to share.
  2. In Physitrack, confirm the recipient's email and the specific content selection.
  3. In SimpleSet, confirm the destination is a shared folder.
  4. Ask the SimpleSet Manager which staff the shared folder includes. Ask them to confirm the intended Read or Write setting.

Recipient checks

  1. In Physitrack, accept the request from your own account.
  2. Find "Demo exercise A" and "Demo template A" from your account.
  3. Check whether "Demo not selected" appears, and compare that result with the intended audience and selection.
  4. For a Physitrack template edit, create and identify the separately named demo copy first.
  5. For SimpleSet, compare the available demo actions with the permission the Manager confirmed.

If the result differs, note the item name, folder or request, and account involved. Recheck the documented selection and permission steps before changing settings.

The useful finish is specific: your colleague found the intended content and identified the documented editing route.
